Office Systems
Managing the office filing systems
Ensuring office supplies and stationary are ordered and in stock
Ensuring agency software Synergist is up to date with Customer/Supplier information
Managing external correspondence
Writing and reviewing office policies
Finance and Legal
Managing company outgoing and incoming monies using Synergist and Quickbooks
Credit control management
Invoicing clients
Liaising with External Accountant on a monthly basis to ensure accounts are up to date
Managing insurance and other legal requirements
Ensuring compliance with Health and Safety Law
Reviewing Health and Safety Policy and Risk Assessments on an annual basis
Managing the Building and Tenants
Organising any necessary building maintenance work
Ensuring the presentation of the studio is up to standard and client refreshments are kept in stock
Managing the process of taking on new tenants if required, e.g, leases (already drafted)
Applicants must have:
Experience with Quickbooks or similar accounting package
Knowledge of the full Microsoft Office Suite
Experience using Customer Relationship Management databases
Excellent interpersonal, oral and written skills
Ability to work independently with good organisational skills and ability to prioritise workload
Desirable but not essential:
Knowledge of HR systems and practices eg recruitment, induction and drawing up contracts
